RotaBridge

How it works

From open shift to covered rota — without the group chat

RotaBridge gives admins one place to publish shifts and workers one place to claim them. Here's exactly how it works for both sides, what the key features do, and what to expect after you sign up.

How RotaBridge works

Four steps to replace the group chat. Same login for admins and workers — the app routes each person to the right place.

  1. Admin

    Add your sites and roles

Create each location in Admin → Sites and define job types in Roles. Takes a few minutes before your first shift.

    1
  2. Admin

    Publish a shift

Pick the site, role, time, and rate. Publish instantly or save as draft until you're ready.

    2
  3. Worker

    Workers claim open shifts

Your team sees eligible shifts in the worker app and taps to claim. Email keeps everyone in the loop.

    3
  4. Admin

    Approve cover

Review pending claims, approve one worker, and the shift is assigned. Full history, no guesswork.

    4

Workers join free via your organisation's invite link — share it on WhatsApp, email, or however you already reach your team.

Two sides, one simple flow

Admins and workers use the same login — the app routes each person to the right place.

For business owners (Admin)
  1. 1

    Create your organisation

Sign up in a couple of minutes. You become the admin — no credit card needed to start on the free plan.

  2. 2

    Add sites and roles

Set up each location where work happens (store, client address, ward, depot) and the job types your team covers (cleaner, carer, driver, supervisor).

  3. 3

    Invite your team

Copy your organisation's invite link from the dashboard and share it however you already reach people — WhatsApp, email, or SMS. Workers register for free.

  4. 4

    Publish shifts

Pick the site, role, time, and pay rate. Publish instantly or save as a draft until you're ready. Only workers registered for that role see it.

  5. 5

    Approve cover

Review who claimed a shift and approve one worker. They get an email confirmation and the shift is assigned — with a full history you can check later.

For workers
  1. 1

    Join with the invite link

Tap your organisation's link, register with your name and email, and pick the roles you can cover. It's completely free for workers.

  2. 2

    See eligible shifts

Open shifts for your roles appear in the worker app. No more scrolling a busy group chat to find what's still available.

  3. 3

    Claim a shift

Tap to claim the shifts that suit you. Depending on the setup, your claim is either confirmed instantly or sent to the admin for approval.

  4. 4

    Get confirmed

You're notified by email once a shift is yours. Your schedule stays clear and up to date — everyone knows who's covering what.

Key features, in plain English

The handful of concepts that make RotaBridge tick.

Invite link

A single shareable link per organisation. Anyone who registers through it joins your team — no manual account creation.

Approval vs instant claim

By default, claims wait for your approval so you stay in control. For trusted, eligible workers you can enable instant-claim so cover is confirmed the moment they tap.

Drafts

Not ready to publish? Save a shift as a draft and release it when the details are final.

Audit trail

Every claim, approval, and assignment is recorded, so you can always see who covered a shift and when — no guesswork if questions come up.

What RotaBridge is not

We do one job well — filling unassigned shifts fast. To keep it simple, these are intentionally out of scope:

  • Full payroll or wage processing
  • Time tracking and clock-in / clock-out
  • HR records, contracts, or holiday management
  • Building an entire rota from scratch
