Terms & Conditions

These Terms govern your use of RotaBridge as an organisation administrator. By creating an account or subscribing, you agree to these Terms and our Privacy Policy.

1. Agreement

These Terms & Conditions ("Terms") are a contract between you and RotaBridge("we", "us", "our") for use of the RotaBridge shift-management service at rotabridge.com(the "Service").

By registering an organisation, subscribing to a paid plan, or continuing to use the Service, you confirm that you accept these Terms. If you do not agree, do not use the Service.

We operate internationally. We are not currently registered as a company in any jurisdiction; if that changes, we will update these Terms with our registered details.

Our Privacy Policy explains how we handle personal data and forms part of your agreement with us.

2. Who may use the Service

The Service is intended for business use by organisations and their authorised administrators. You must be at least 18 years old and have authority to bind the organisation you register.

Workers join through invite links provided by their organisation. Workers are not party to these Terms as paying customers, but their use of the Service is subject to your instructions and our acceptable use rules.

3. The Service

RotaBridge helps organisations publish shifts, let workers claim them, and manage cover. Features depend on your subscription plan. We may update, improve, or discontinue features from time to time.

We do not guarantee uninterrupted or error-free operation. We provide the Service on an "as is" and "as available" basis, except where applicable law requires otherwise.

4. Accounts and security

You are responsible for:

  • Keeping your login credentials confidential
  • All activity under your organisation account
  • Ensuring information you provide is accurate and up to date
  • Managing workers, roles, sites, and shifts within your organisation
  • Complying with employment and data-protection laws that apply to you

Notify us promptly at support@rotabridge.com if you suspect unauthorised access to your account.

5. Subscription plans and pricing

Plan names, limits, and prices are shown on our website and in your admin billing area. Prices are in British pounds (GBP) unless stated otherwise and may include applicable taxes handled by our payment provider.

  • Free plan — available without payment, subject to usage limits shown at signup
  • Paid plans — billed monthly on a recurring subscription basis until cancelled

We may change plan prices or limits for new subscriptions. If we increase the price of your current plan, we will give reasonable notice before it applies to your next billing period. You may cancel before the new price takes effect.

6. Payments (Paddle)

Paid subscriptions are processed by Paddle.com Market Limited ("Paddle"), which acts as our payment provider and merchant of record for checkout. When you subscribe, you also agree to Paddle's applicable buyer terms and privacy notices presented at checkout.

You authorise recurring monthly charges until you cancel. Failed payments may result in restricted access or suspension until payment is resolved.

You can update your payment method and manage certain billing actions through the payment portal linked from your admin billing page, where available.

7. Cancellation and refunds

7.1 Try before you pay

We offer a Free plan so you can evaluate the Service before subscribing. We encourage you to use the Free plan to confirmRotaBridge meets your needs.

7.2 Cancelling your subscription

You may cancel a paid subscription at any time from your admin billing page. Cancellation takes effect at the end of your current billing period. You keep full access until that date; we do not charge you again after cancellation unless you re-subscribe.

Plan downgrades may be scheduled for the end of the current billing period, as shown in your billing area.

7.3 Refund policy

Paid subscription fees are generally non-refundable, including for partial billing periods. If you cancel mid-month, you retain access until the end of the period you have already paid for; we do not refund unused days or downgrade you to a cash refund.

We may issue a refund only where:

  • We are required to do so by applicable law
  • We charged you in error or duplicated a payment
  • We agree in our sole discretion in exceptional circumstances

To request a review, contact support@rotabridge.com within 14 days of the charge, explaining the issue. Payment disputes may also be handled through Paddle in line with their buyer policies.

8. Acceptable use

You must not:

  • Use the Service for unlawful, fraudulent, or harmful purposes
  • Upload or process special category data (such as health records) unless you have a lawful basis and appropriate safeguards
  • Attempt to breach security, scrape the Service, or overload our systems
  • Resell or sublicense the Service without our written permission
  • Misrepresent your identity or organisation
  • Harass, abuse, or discriminate against workers or other users through the Service

We may suspend or terminate access if you breach these Terms or if continued use poses risk to the Service or others.

9. Your data and worker data

You retain ownership of data you submit to the Service. You grant us a limited licence to host, process, and display that data solely to provide the Service.

For personal data about your workers, you are typically the data controller and we act as a data processor on your instructions. You must:

  • Have a lawful basis to collect and use worker data
  • Provide any required privacy notices to your workers
  • Only invite workers who should have access to your organisation

10. Intellectual property

We own the Service, software, branding, and documentation. These Terms do not grant you ownership of our intellectual property. You may not copy, modify, or reverse engineer the Service except where law permits.

11. Limitation of liability

To the fullest extent permitted by law:

  • We are not liable for indirect, incidental, special, or consequential losses (including lost profits, lost shifts, or staffing shortfalls)
  • Our total liability arising from the Service in any 12-month period is limited to the fees you paid us in that period (or GBP £100 if you use only the Free plan)

Nothing in these Terms excludes liability that cannot be excluded under applicable law (including fraud or death/personal injury caused by negligence where applicable).

You are responsible for staffing decisions. RotaBridge is a scheduling tool; we do not employ your workers and are not responsible for workplace compliance, minimum wage, or right-to-work checks.

12. Termination

You may stop using the Service at any time. We may suspend or terminate your account if you breach these Terms, fail to pay, or if we discontinue the Service with reasonable notice.

To request deletion of your organisation account and associated data, contact support@rotabridge.com. There is no self-service deletion at this time. See our Privacy Policy for retention details.

13. Changes to these Terms

We may update these Terms from time to time. We will post the new version on this page and update the "Last updated" date. Material changes may be notified by email or in-app notice. Continued use after changes take effect constitutes acceptance, unless applicable law requires otherwise.

Effective from: 25 July 2026

14. Governing law and disputes

These Terms are governed by the laws of England and Wales, without regard to conflict-of-law rules. Courts in England and Wales have exclusive jurisdiction, except where mandatory consumer protection laws in your country give you the right to bring proceedings elsewhere.
